The 6-Point Checklist I Use Before Every Diagnostic, Trim, and Accessory Job

Before the checklist: what this is for

Somewhere in my third year as a service manager, I stopped trusting the phrase 'that should be simple.' In 2017, I quoted a fender flare replacement without checking the trim retainers. The flare arrived. The fender flare retainer kit didn't. Then a door moulding retainer broke on the same truck because the tech pulled the panel instead of releasing the clip. That one job burned about $590 in reassembly time and a full Saturday. Seven years and roughly $14,000 in documented mistakes later, I keep a written checklist. This is it.

Here's what you need to know: this isn't a lecture about being careful. It's the exact list I run before I quote, before I scan, and before I hand the keys back. Six steps, in the order I do them.

Step 1: Put a scan tool in the bay that can handle the vehicle

Most of our check-engine-light work starts with an Innova. The Innova 3020 code reader is the tool I hand to a new tech who needs a clean code read without a separate class in bidirectional testing. But my gut said we'd end up borrowing the SD35 every week. I bought both. One for quick code pulls, one for the deeper dives. Step 2: Count the clips and retainers before you quote the job

Most shops quote the fender flare, not the fender flare retainer set. That's the mistake. On a typical flare job, there can be six to fifteen retainers holding the flare to the body. One breaks, the flare rattles at highway speed, and the customer is back next week. Door moulding retainers are even less forgiving: one vehicle generation can use six different styles. You don't know which one you need until the moulding is off, which means your quote should include a line for 'remove panel and inspect' or you order the common styles ahead of time. Most techs skip this because it doesn't show up in the labor time. That's exactly why I put it on the checklist.

People think a loose door moulding is a failed adhesive problem. The reality is the retainer broke first, and the adhesive couldn't handle the flex. The moulding looks like an adhesive failure; it's usually a clip failure. Save yourself the comeback.

Step 3: Look up the wiring harness before you quote an accessory install

Accessory installs are where the hidden cost lives. If someone asks about a 2025 Honda CR-V trailer hitch, the quote should include the T-connector harness, not just the metal hitch. The hitch is straightforward. The harness is where the 'my trailer lights work but now my parking sensors don't' complaints come from. On newer models, a cheap splice can backfeed a module and trigger a fault that's expensive to chase. That's one reason I keep an Innova scan tool near that part of the shop, not to fix the trailer, but to read whatever module got upset during the install.

To be fair, some customers only need a hitch for a bike rack and don't want the wiring at all. That's their call. But it should be a decision, not an oversight. Put the harness on the quote as a line item and let them delete it.

Step 4: Diagnose the cause, not the code

Codes are clues. People think a P0300 means new ignition coils, but a misfire code is only a symptom. The assumption is that a diagnostic fee is a waste of money if the code doesn't lead directly to a part. The reality is the fee is what stops a parts-swapping spiral. I've watched a P0135 turn out to be a broken heater wire in the connector, not the O2 sensor. The scanner started the conversation; the multimeter finished it. Trust me on this one: a tool that talks to every module doesn't replace a tech who tests the circuit.

Even a good reader, like the Innova 3020 code reader, only tells you where to look. If you don't test the actual sensor and wiring, you're guessing.

Step 5: Prepare a lockout answer you can actually give

A customer will type 'how to open thule roof box without key' into Google, then call you. The best answer is boring: find the key code on the lock cylinder or in the owner's paperwork, then contact Thule for a replacement key. If the lock is bad, replace the cylinder. A locksmith can usually code a new key from the cylinder if the pinning is intact.

What I won't do is share a bypass that also makes it easy to steal a $1,000 roof box. I have mixed feelings about this one. On one hand, I hate watching a family miss a road trip. On the other, the more popular the 'zip tie trick' becomes, the easier the theft gets. As a shop, sell them the replacement part and move on.

Step 6: Make the price visible before the job starts

Transparent pricing is not about being the cheapest quote. It's about not making the customer feel stupid when an extra line appears. I've learned to ask 'what's NOT included?' before I ask 'what's the price?' That one question changed how I order parts. If the quote has a line for fender flare retainer kit and another for door moulding retainer set, the customer knows exactly what they're paying for. If I bury it under shop supplies, it's the same money, but it feels like a trap. Vendors who list all the fees upfront usually cost less in the end. That's true for the parts dealer and it's true for the repair shop.

Most of these mistakes are preventable with a twenty-minute pre-check. The ones that still pop up:

  • An OBD2 tool that hasn't been updated in two update cycles. Pay the subscription or get a tool with more current coverage.
  • Ordering the trim retainer as an afterthought. I ordered three different styles of door moulding retainers in 2024, used one, returned two. That was cheaper than stopping a job midday.
  • Treating a lockout request as free advice. If it takes twenty minutes to get a Thule cylinder key code off a car and call the customer back, that's real time. Log it, quote it, or explain why it isn't on the bill. Just don't pretend it doesn't exist.

Bottom line: this list is six items long. It doesn't catch every new failure mode, but it catches the expensive ones I used to create myself. If you're putting together your own checklist, start with the parts you can't see: scan tool coverage, retainers, harnesses, and the stuff the customer forgot to mention.
